Event enquiries: useful context without promising a booking

A ‘Book’ button creates a specific expectation. If a venue still needs to confirm capacity and date, the first action should be called an enquiry or availability request.

01

Date or window

Ask for a specific date when available, or a flexible window when planning is early. State that the team will check availability.

02

Approximate guests

A range is enough to guide an initial review. Do not turn a provisional number into approved capacity.

03

Event type

Logistics differ by format, timing and venue needs. Ask only for details the team will actually use when replying.

04

Human review

Explain that the team will check capacity, operations and conditions before offering options. The site should not invent a confirmation.

05

Clear response

Confirm receipt and name the follow-up channel. A booking exists only after both sides agree on real terms.

Example to adapt

‘Ask about availability for [date or window], around [guests] and [event type]. We will review your request and reply with available options.’ Avoid ‘Your date is booked’ before checking.

Final check

Verify capacity, hours, commercial terms and the response channel with the venue before publishing.
