What to ask before a first professional-services call

Demanding a long document before a conversation can make a simple enquiry feel like a tender. An initial brief should help prepare the call while leaving room to explore the problem together.

01

Name the problem

Ask for a description in the person's own words. Do not force them to choose a technical solution before explaining what they need.

02

Place the context

Organisation, project and current stage can change the discussion. Keep questions to what the team needs in order to prepare.

03

Separate optional details

Budget, documents and a detailed schedule may help, but often do not exist at first contact. Mark them optional unless truly essential.

04

Arrange the call

Provide a clear way to request a conversation. A preferred time is not booked until the team confirms it.

05

Go deeper afterwards

Use the first conversation to decide what further information is actually needed and who can provide it.

Example to adapt

‘I need help with [problem]. We are at [stage]. I would like to discuss [goal]. I can share [optional documents] and am available [window].’ Five lines can be enough to begin.

Final check

Review every form question: if its answer would not change the first call, consider moving it to a later stage.
