The minimum details for a B2B quotation request

A quotation needs operational context. An initial form can collect it without automatically calculating a price or demanding a specification pack that does not yet exist.

01

Product and application

Ask for a known product family or reference and its intended use. If the person does not know a code, let them describe the need.

02

Approximate volume

A quantity range indicates scale. Make clear that final volume may change after technical and commercial review.

03

Destination

Delivery city or country affects logistics and tax. Ask for enough detail for an initial answer without claiming a shipping quote.

04

Timing

Ask when the product is needed. Separate the desired date from a delivery commitment, which depends on stock and operations.

05

Summary and response

Show what information will be sent and what the team will do next. Submission is not a confirmed price, stock level or acceptance.

Example to adapt

‘Please quote [product or need] for [use], approximate quantity [range], delivery to [destination], desired by [date]. Let me know if you need more specifications.’

Final check

Before adopting the template, check with sales which details are mandatory and which reply times can actually be met.
